Privacy Policy
Effective date: 10 July 2026
This Privacy Policy explains how HQ Team Aquila ("we", "us", "our") collects, uses, stores, and shares information when you use our website and mobile application (together, the "Service"). By using the Service, you agree to this policy.
1. Information we collect
- Account information: name, email address, password (hashed), profile photo, phone number, and country provided during onboarding.
- Membership data: sponsor/referral relationships, tier level, PIF/Funder status, and login credentials you choose to store.
- Content you create: chat messages, direct messages, uploaded images and videos, announcements, and community posts.
- Call data: voice/video call metadata, and — only when you explicitly start a recording — the recorded audio/video.
- Technical data: device type, operating system, IP address, approximate location derived from IP, browser, and access logs.
2. How we use your information
- Operate and maintain the Service (authentication, matrix, community, calls).
- Deliver messages, calls, notifications, and announcements you sign up for.
- Prevent fraud, abuse, and unauthorized access, and enforce our terms.
- Comply with legal obligations and respond to lawful requests.
- Improve stability, performance, and features of the Service.
3. Camera, microphone, storage, and notifications
The mobile app may request access to your camera and microphone (for voice/video calls and media sharing), device storage (to attach images or videos), and notifications (for new messages and calls). These permissions are used only for the features you activate and can be revoked at any time in your device settings.
4. How we share information
We do not sell your personal information. We share information only with:
- Other members where the feature is inherently social (e.g. your name/photo in the community, your messages with a recipient, your matrix position with your upline).
- Service providers that host and power the Service (cloud database, storage, email delivery, real-time messaging, call infrastructure) under contracts that require them to protect your data.
- Authorities when required by law, subpoena, or to protect rights, safety, and property.
5. Data security
We use industry-standard measures including TLS in transit, encryption at rest, row-level security on our database, and AES-256-GCM encryption for sensitive stored credentials. No system is 100% secure; please protect your account password and report suspected abuse to us immediately.
6. Data retention
We retain your account and content while your account is active. When you request deletion, we remove your personal data within a reasonable period, except where we must keep it to comply with legal obligations, resolve disputes, or enforce our agreements.
7. Your rights
Subject to your local law (including GDPR and POPIA), you may request access, correction, deletion, restriction, or portability of your personal data, and object to certain processing. To exercise these rights, contact us at support@teamaquilahq.com.
8. Children
The Service is not directed to children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will delete it.
9. International transfers
Your information may be processed in countries other than your own. Where required, we rely on appropriate safeguards for such transfers.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be announced in-app or by email. Continued use of the Service after changes become effective constitutes acceptance of the revised policy.
